So you want to volunteer or staff at Colossalcon Prime? We’d love to have your help! Whether you want to help out a little by volunteering or help out a lot as a staffer, devoted fans are needed to make the con run!
Volunteering
Volunteering is a great way to enjoy your time at Colossalcon Prime while still helping out the convention. By devoting a few short hours during the weekend, you’ll get your admission price reimbursed! From setting up department rooms to guiding attendees, volunteers support the staff in pulling off a great convention each year. Volunteers help make the convention happen!
Volunteering Rules and Guidelines
Duties and Responsibilities
- Volunteers must either be 18 years of age or older OR be between the ages of 15 to 17 years of age with signed parental/guardian consent or be volunteering with their parent or guardian.
- Most volunteers will be either badge checking at one of our many badge check posts or checking IDs at the entryway of an 18+ panel room for the duration of their shift.
- Volunteers may have a small chance of helping with other departments, depending on the need of the department. Those options could include:
- Helping our Staff Suite department cook and serve food to the staff.
- Helping our Autographs department with line control for guests.
- Helping our Cosplay team with line control or door control for the main cosplay.
- Volunteers will not be able to choose where they are placed ahead of time. This will be at the discretion of the convention at the time of their shift.
- If you would like to choose where to work, please try applying to staff at Colossalcon Prime instead!
- Each volunteer is held to the Code of Conduct, which can be found under the info/FAQ pages, of the convention and the Kalahari.
- It is the right and at the discretion of the convention and the Kalahari to remove any volunteer from either the convention center or hotel premises who has broken or violated the Code of Conduct of either institution.

Procedure
- In order to volunteer first please fill out the Volunteer Application located at the bottom of this page.
- Several weeks before the event happens a representative of the convention will reach out to applicants to confirm their interest.
- Once confirmed, volunteers will be able to pick their working schedule based on their preference and the needs of the convention.
- Once the schedule is established, volunteers will be expected to show up to Convention Operations (Con Ops) 10-15 minutes prior to their listed shift times to be given their location and duties.
- If volunteers are badge checking or ID checking, instructions will be given at the time of the assignment.
- If volunteers are not badge checking or ID checking instructions will be given at the location they are sent to.
- If volunteers complete their assigned task prior to the end of their shift, or if the department they were assigned to no longer needs their help, they are to return to Con Ops to either be reassigned or dismissed.
- Failure to show up to the assigned shift times without proper communication to the convention correspondent as to the reason for the delay/absence will forfeit a volunteer's right to reimbursement and blacklist the volunteer from volunteering AND staffing at any future Colossalcon Prime and affiliated events.
Hours and Reimbursement
- It is a requirement of all volunteers to have already purchased a badge prior to volunteering. The convention will NOT provide a badge of admission to volunteers.
- Badges may be purchased either through the pre-registration time period on the Colossalcon Prime website or at the door.
- In order to fully reimburse a multiday badge, volunteers must work a total of 15 hours over the course of the event.
- Working during the “night shift” (hours between 10:00 pm and 3:00 am) will count as double hours, meaning volunteers can work an hour during this time period and get credit for working two!
- Working on Saturday of the convention for at least four hours during the “night shift” (hours between 10:00 pm and 3:00 am) will qualify for a full weekend reimbursement. No further hours will be needed to work if you work a shift during this time period.
- Reimbursement will be issued on Sunday of the event, regardless of when the hours are completed.
- Reimbursement can either be issued in the form of a refund to the digital payment of a pre-registered badge, cash reimbursement for a cash or card paid for at the door badge, or through online payment options if the reimbursement is somehow missed by the volunteer on Sunday.
- We will only reimburse up to the cost of a multiday badge regardless of the level of badge purchased by the attendee.
- It is the responsibility of the volunteer to pick up their reimbursement. The convention will do its best to reimburse all volunteers; however, the convention is not responsible if a volunteer does not come back for their reimbursement.
Staffing
Did volunteering leave you wanting to do more? Want to receive additional perks from the con like free food, free housing, and of course free admission? Then maybe staffing is the gig for you! Staffers are the backbone of con, solving problems and making everything run smoothly. If you’re ready to take on the challenge, apply to staff!
Staffing Rules and Guidelines
Duties and Responsibilities
- Staff must either be 18 years of age or older OR be between the ages of 15 to 17 years of age with signed parental/guardian consent or be staffing with their parent or guardian.
- All staff are required to work a minimum of 24 working hours throughout the con.
- Each staffer is held to the Code of Conduct of the convention and the Kalahari.
- It is the right and at the discretion of the convention and the Kalahari to remove any staffer from either the convention center or hotel premises who has broken or violated the Code of Conduct of either institution.
- Responsibilities of each staffer are dependent on the department the staffer is working. Please see the Department Descriptions list for more information about what each convention department does.
- Applicants who are approved to work in their chosen department will receive more information about their duties from their department head.
- Shift length and working hours are based on the needs and priorities of the department.
- Staff may need to arrive before the first day of the convention and may need to wait to leave until well after the event is finished, depending on their department.
- Those chosen to be staff are at the discretion of the convention.
- Those chosen as staff are entitled to items considered “Staff Perks” which include, but are not limited to, the following:
- A Staff Badge, which will allow for free admission to the event for the year the staffer is approved.
- Free food provided by the Staff Suite department.
- Allergies and Dietary Restrictions are taken into account for those staff who need it.
- Free admission to the interior and exterior pool and waterparks of the Kalahari during the daytime operational hours.
- Free admission to the interior pool and waterpark during at least one of the Night Swim events hosted by Colossalcon Prime
- Access to the shared staff housing
- Staff housed within the staff housing are subject to the rules and guidelines enforced by their department.
- It is the right and at the discretion of the convention and the Kalahari to remove any staffer from either the convention center or hotel premises who has broken or violated any staff housing rules.
Procedure
- In order to be considered for staff, please first fill out the Staffing Application located at the bottom of this page.
- Several weeks before the event happens, a representative of the convention will reach out to applicants.
- Applicants may be requested to have an in-person or over-the-phone interview as part of the vetting process.
- Applicants may be requested to submit the form again should they need to apply for a department that is not their first department of choice.
